  • Small or ad hoc workgroups need an informal means to work together on group deliverables, share documents, and communicate status with one another. These groups need to share information easily and effortlessly and SharePoint Team Services–based Web sites allow them to do that.
  • Large workgroups with structured processes need greater management over their information. They require features like formal publishing processes and the ability to search for and aggregate content from multiple data stores and file formats. For this scenario, SharePoint 2001 is recommended.

A SharePoint workspace is a designated collection of folders, management tools, categories, or indexes that can be searched by SharePoint. The search results are then displayed on the dashboard site. When SharePoint is installed, the administrator creates one or many workspaces, which can be on a single computer or on multiple computers.

  • When a workspace stores actual content, such as folders and files, it is referred to as a document management workspace.
  • When a workspace stores index information about external content, such as Internet or Intranet Web sites it is referred to as an index workspace.

Users can create, review, and publish documents in a workspace, accessing it as a network place from Windows Explorer, Office applications, or through a dashboard site using a browser.
